Job Description

To provide an efficient administrative and clerical support service in line with service requirements. As an important link between clinical staff, patients and managers, the post holder will be expected to project a positive and helpful image at all times. To work as part of a team alongside other clerical staff and Nursing staff within the department and to be part of a wider multidisciplinary team delivering a high quality service to other staff and patients.
Provide support to the COVID swabbing Hub with admin needs.

  • Communicate effectively and with a friendly manner with all staff groups and families.
  • To pass on any messages given in role to the appropriate person as soon as possible
  • Adherence to the Trust’s Equal Opportunities policy in the work place
  • Respond to requests for information and, where appropriate, pass on information to others, maintaining confidentiality.
  • Deal with day-to-day telephone enquiries to the department
  • Liaise with other hospital departments i.e. Medical Records, Estates & Facilities.
  • When required to act as first point of contact for visitors to the department.

Specific Duties

  • To assist and support in collating administrative requirements, for example, to collate information relating to quality monitoring, e.g.: patient experience
  • As an important link between clinical staff, patients and GPs, the post holder will be expected to project a positive and helpful image at all times.
  • Provide a professional level of customer service for the department.
  • Respond to inquiries in a friendly, professional and courteous manner, resolving issues where possible or escalating to an appropriate team member when required.
  • Communicate effectively and use appropriate interpersonal skills with people both internally and externally, maintaining the professional reputation of the Trust and department at all times.
  • Promote and support the collection of patient Feedback as required
  • To continuously contribute to the progression and development of the chosen department through the provision of a high quality service.
  • The post holder will be expected to complete all mandatory training provided.
  • Accurately input, retrieve and collate information using departmental and Trust computer systems in a timely way being mindful of data protection at all times.
  • Respond promptly and efficiently to routine queries referring queries on to other personnel as appropriate
  • To undertake clerical support e.g. filing, photocopying, typing and retrieval of documentation in line with Trust and departmental procedures
  • To ensure all Health and Safety guidelines are followed and equipment is used according to instruction.
  • Any potential hazards and accidents to be reported and recorded promptly in line with Trust policies and procedures.
