Job Description

This is an exciting opportunity for candidates looking to provide administrative support as part of a centralized business support team, and who wish to utilize and grow their skills and expertise in communication and collaboration. The tasks vary from providing diary management for Directors, producing and reviewing reports, setting up and minuting meetings, enabling effective service provision, developing presentations and organizing events.

We encourage applications from candidates who have experience from both within and outside of the Higher Education sector where they can demonstrate the skills needed to succeed in this role.

All staff are encouraged to take responsibility for their own performance and development, through agreeing clear objectives, maintaining professional awareness, participating in professional networks and reflecting on own performance.You will be required to participate in frontline services as required, including contributing towards a rota for evening and weekend working.

This post will be offered on an indefinite contract. This is a full-time post, but we welcome applications from candidates seeking a flexible work pattern within our 9am to 5pm.

  • Provide professional and confidential administrative support, including document management, production and review of reports, diary management for Directors, setting up and minuting of meetings, and organizing events
  • Build a strong network of contacts across the company and the wider university, and develop relationships with the Director’s and Associate Directors’ key partners internally and externally
  • Enable strategic planning and decision making by collating, analyzing and interpreting a range of statistical and other information sources
  • Enable highly effective communications to include assisting with the creation of presentations, copy-editing of key documentation and supporting the development of important internal community building forums e.g. Team sites
  • Enable effective engagement with the delivery of our strategic plans across the division, through the development and delivery of a versatile range of staff activities e.g. workshops
  • Facilitate an environment of continuous improvement, through open communication and constructive feedback
  • Assist the Head of Operations as required
  • Manage people, through project or line management, in order to deliver high quality services
  • Role-model a positive, proactive, flexible and committed approach that encourages others

Required Knowledge, Skills, and Abilities

  • Relevant work experience might include work as a personal assistant, or in an office/project manager role.
  • Relevant educational experiences might include higher education in a related discipline, professional qualifications or other training
  • Excellent oral and written communication skills, including the ability to present information to a range of different audiences
  • Experience in positively and proactively resolving a range of problems
  • Experience of supervising staff
  • Proactive, responsive and flexible approach to work
  • Ability to work independently in a fast-changing environment and to meet challenging deadlines
  • Ability to work effectively and proactively within own team and other teams and stakeholders
  • Ability to ‘manage up’ effectively and confidently
  • Experience of minute-taking, preparing papers and providing diary management
  • Excellent data-entry and information-handling skills
  • Commitment to equity, equality, diversity and inclusivity in your own learning and ways of working
  • Up-to-date knowledge of data protection and copyright legislation, along with understanding of how to identify and handle sensitive information with the appropriate levels of confidentiality
  • Understanding of the current and future challenges facing academic libraries in research-intensive universities
  • Experience of coordinating projects and/or service improvements
