Job Description
You will be responsible for meeting and greeting visitors, answering the phone and directing callers, taking messages, incoming and outgoing post, ordering stationery supplies, booking meeting rooms and fulfilling catering, counting donations, preparing mailings, scanning and photocopying paperwork and managing and filing paperwork You will be the first member of the team that many of our visitors and supporters will meet or talk to, and so you’ll be providing their first experience of the charity and efficiently dealing with their enquiry, helping them to make their donation, or introducing them to the team member who can help them.
You will be responsible for:
- Providing a warm and empathetic welcome to the office, dealing with visitor’s enquiries quickly and efficiently, and taking donations from visitors where necessary
- Answering the phone and general email account, dealing with enquiries in a warm, friendly and empathetic manner to find out if you can help or it needs to be forwarded to another member of the team, and receiving and forwarding messages as appropriate
- Collecting the daily incoming and outgoing post and distributing to colleagues as appropriate
- Ordering stationery supplies
- Helping colleagues with booking meeting rooms
- Assisting the finance team with processing daily donations
- Supporting administrative tasks such as updating the supporter database with address and contact detail changes following mailings
- Scanning and filing paperwork
- Other administrative tasks as directed by the Supporter Administrator or the Head of Donor Care
