Job Description

You will be a dynamic, customer service-focused individual who works fast, pays attention to the details, and strives at all times to assist all things related to Workplace and Facilities. This position will assist in building out programs for the future of the workplace and may be assigned special areas of focus such as office support, COVIDcare, Inventory, etc., but is expected to be cross-trained in all facility and administration related disciplines.

  • Create and implement culture and social programs for the growing Dublin office by being creative and implementing activities.
  • Create and implement workplace procedures and processes for the Dublin office.
  • Quickly and efficiently responds to all facilities inquiries and requests; Ensures timely and quality service delivery to every employee. Follow up with employees to ensure complete customer satisfaction.
  • Responsible for maintaining future office appearance, meeting set up coordination, Office appearance upkeep.
  • Lead the local Dublin COVIDcare in administrative tasks for returning to office requirements to ensure compliance.
  • Able and ready at a moment’s notice to assist with event setup and any related tasks as assigned (including company support, moving furniture, sourcing vendors, providing hostess or serving duties during events, running errands and the like).
  • Coordinate and manage property management requests and vendors (food/snack/coffee/janitorial) for our Dublin office.
  • Manage and coordinate Dublin office badge/access program.
  • Travel, expense & diary management for VP EMEA.
  • Organize EMEA team cultural activities.
  • Lead internal co-ordination & execution of Exec and SLT team visits to Ireland.

Required Knowledge, Skills, and Abilities
  • This role will be in office when the Dublin office opens.
  • High School Diploma or equivalent preferred.
  • College coursework or equivalent experience, in a related area preferred.
  • 3+years administrative or office experience in related field desired.
  • Ability to assess priorities quickly, and become proficient with protocol, culture and processes.
  • Takes initiative and goes beyond established framework; looks for new ideas and creative solutions to overcome challenges.
  • Intimately familiar with Internet tools and strong proficiency in intermediate Word, Excel, and Outlook.
  • Strong communication skills, both written and verbal.
  • Ability to handle confidential and sensitive information with the appropriate discretion.
