Job Description

We’re looking for a proactive individual, to play a key role in providing administrative support and diary management to the People Team to ensure the smooth running of the department.

YOUR RESPONSIBILITIES

  • Diary management for new starters – organize catch up’s and probation period reminders liaising with line managers and assisting our People Adviser throughout onboarding process.
  • Benefits administration - Bupa, eye care, cycle scheme, childcare vouchers, EAP, season ticket loan etc.
  • Management of People related expenses - purchasing gifts for awards.
  • File and HR Tracker management.
  • Manage Right to Work checks, referencing, probation & promotion letters for all new joiners and existing employees.
  • New joiners - organizing weekly induction and welcome emails, informing health and safety reps and security and uploading new starters to our HR Peoplesoft system.
  • Book exit interviews for all leavers.
  • Support new joiner IT set-up through regular liaison with our IT support specialists (Paige).
  • Ensure all paperwork meets ISO & Audit standards.
  • Maintain People Team intranet page (benefits, FeelGood, new joiners page).
  • Maintain data in our HR system ‘Reach’ and support in creation of People stats
  • Keep appraisal spreadsheet up to date
  • Get involved with wider agency initiatives including DISCO and Culture Club
  • Support with wider HR Projects where possible, including Diversity & Inclusion and Wellbeing initiatives

Required Knowledge, Skills, and Abilities
Previous administration experience. Strong interest in working in HR. Friendly, positive, fun & approachable working style. Strong organization skills and exceptional attention to detail. Discretion is essential as you’ll be handling confidential data. Strong team player who will go extra mile and can build strong relationships across agency. Excellent Microsoft Office skills.
