Job Description
Escalating queries over repairs and costs as necessary
Proving updates in relation to Work in Progress (WiP) within the location
Update system daily and follow month end processes
Chase warranty credit notes and chase suppliers
Closing all orders after costing and allocating workshop hours from job cards
Manage the company’s time and attendance system for the workshop staff to ensure accurate hours, absence and overtime recording, checking and adding staff hours from clock cards on to system
Raising PO numbers / work orders in relation to the supply of parts for the location.
Monitor and chase vehicle compliance documents form internal workshops and external suppliers
Assist Operations Manager when required to resolve supplier invoice queries.
Once a delivery has been checked by the Workshop and as per the instructions from the Workshop, receive the parts actually and correctly received against the Purchase Order raised.
Process customer re-charges
Flagging necessary work as recharge and informing the Fraikin Service Centre of this. Managing surcharges to ensure value is recovered in the event of a returned item.
Ensure that all hire related paperwork is completed/signed correctly by company drivers & customers.
To liaise with customers to arrange the collection and delivery of vehicles from the location in relation to rental and workshop activity.
Ensure that LRQA files and paperwork are completed correctly
To manage and measure the use of Petty Cash on site ensuring its use is controlled and for identified appropriate use.
Any other activities which are reasonably required for the effective performance of their duties.

Required Knowledge, Skills, and Abilities
To be successful in this role you will need to be/have: IT literate in particular MS Office. A high level of attention to detail and accuracy. Strong administrative skills with experience of being a self-starter and organized in your approach. To work as part of a team across both rental and workshop functions. Strong communication and interaction skills. Flexible attitude. Previous experience in a fast paced administrative role demonstrating a strong customer focus. Experience: general administration: 2 years (required)
