Job Description

The Senior Education Support Administrator is required to work across the whole College Education function with a strong focus on delivering excellent customer service through professional interactions with a wide variety of stakeholders, and must be able to demonstrate a high level of expertise with systems and data analysis. As a result, the role holder will be required to possess a high level of IT skills and have experience managing and analyzing large data sets.
The role holder will need to work flexibly to ensure peak periods are accommodated and willing to adapt to the changing demands of the fast-paced environment. They will need to keep skills up to date and develop competence through learning from colleagues and using their initiative to seek out other appropriate learning opportunities.

The ideal candidate should be educated to at least A Level standard or equivalent and have experience of working in an administrative role within a customer service-based environment.

They should demonstrate:

  • Ability to work flexibly.

  • The ability to deliver excellent standards of customer service within tight deadlines and influence others to do the same.
  • Ability to deal with confidential and sensitive data in accordance with appropriate legislation.
  • Excellent IT skills, including word-processing, databases, spreadsheets and bespoke system use.
  • Experience of managing and analyzing large data sets and setting up and maintaining complex working systems.
  • Experience of operating effectively and efficiently in a busy multifunctional environment.
  • Excellent verbal and written communication skills.
  • A high degree of resourcefulness e.g. the ability to transfer existing knowledge to new situations to formulate a solution to a problem.
  • Able to ensure accuracy, even when performing routine tasks and demonstrate attention to detail.

Organization

Typically reports to a Programme Manager and provides education support for one or more teaching programmes.

Main Duties

1. Act as primary contact for academic staff involved in the Schools’ /Programmes’ learning and teaching, providing expert guidance, understanding and resolving queries, and identifying when to delegate or escalate queries.
2. Deal with higher profile contacts on own initiative.
3. Work with and support your team to plan, organize, maintain and deliver activities, enabling the successful delivery of programmes; in some teams this will involve you being the designated line manager for staff.
4. Specifically take responsibility for the more complex tasks associated with welcome, induction/re-induction, attendance monitoring and recording, timetabling, placements, examinations, progression, and graduation etc.
5. Make a substantial contribution to the management, development and implementation of operational processes.
6. Prepare and deliver management and institutional reports; this will include responding to complex data requests involving the need to pull information from various sources.
7. Compile, manipulate, analyze and interpret large and complex data sets, drawing up reports and/or identifying required actions as appropriate.
8. Support the development of systems and procedures to assist in the day-to-day running of School/Programme administration.
9. Responsible for the regular review and update of key documentation.
10. Support periodic quality assurance related audits, report on School/Programme compliance, propose solutions and develop and deliver remedial action plans.
11. Providing a professional secretarial service to relevant committees and meeting.
12. Proactively identify ways of enhancing the curriculum and student experience, making recommendations as appropriate.
13. Support equality and values diversity, moderating own behavior to avoid unfair discriminatory impact or bias on others.
14. Manage all data in accordance with University policy and Data Protection Regulations.

Other Duties

1. The post-holder will undertake any other duties that may be assigned by the relevant management team in support of more complex activities.
2. If in a supervisory role, you will line manage all staff and take responsibility for coordinating and prioritizing the work of others, normally as the head of a small team or sub-unit of a team. If not in a supervisory role you will still be expected to act as a role model and coach members of the team.


Required Knowledge, Skills, and Abilities
Substantial professional experience in a variety of similar roles; and GCSEs to a minimum of grade C in English and Mathematics (or equivalent qualifications) and A levels or an equivalent level 3 qualification, such as a Level 3 NVQ, or level 3 national diploma. Comfortable in a role where you take significant responsibility and where you are expected to proactively propose new ways of working. Comfortable working on your own initiative to complete tasks and projects without close supervision. Able to become authoritative quickly on complex systems and be able to advise colleagues on these. Able to set the standard for other colleagues, acting as a role model and coaching staff as appropriate. You will be able to communicate and delegate effectively as required. Well organized with the ability to priorities work (your own and the work of others) proactively, independently and as part of a team. The ability to work to tight deadlines in a collaborative team environment. The ability to supervise and support the work of other team members. A good understanding of delivering excellent customer service and the ability to influence others to deliver it too. The ability to interact with individuals at all levels of internal and external organizations. Experience of using and maintaining complex work systems e.g. student databases/record systems or equivalent.
