Job Description

We are looking for a highly motivated and enthusiastic individual to be responsible for assisting in the day-to-day running of our busy Property Department. This post offers a variety and challenges throughout a range of Companies, mainly property development and rental related work, construction and self-store.

The successful candidate will have a minimum of 2 years relevant experience and must be a self-starter with experience of working in a busy property office environment. The ability to take instruction, multitask, follow-up and use initiative is essential, along with having good problem-solving skills and experience in prioritizing workload. You will be a flexible and supportive member of the team and will report to the Line Manager.

You will assist in the provision of an efficient and effective clerical and administrative support service in accordance with policies and procedures to develop skills, knowledge and experience in all aspects of property administration.

Key Responsibilities, Accountabilities and Duties

  • Dealing with all aspects of property rental enquiries and appropriate administration in Property Department.
  • Answer/deal with queries both face to face and via the telephone, being the first port of call for incoming property calls, including repair and maintenance queries as well as calls for tenants. Take messages and pass them to the relevant member of staff in an appropriate and timely manner.
  • Answer / deal with repair and maintenance queries.
  • Carry out general property administrative tasks as designated by the Line Manager, including typing tenancy and license agreements, correspondence, reports and minutes.
  • Maintain the general filing system in line with the Company policies and procedures; using both manual and computerized systems, to include inputting data, keeping records, statistics, confidential and general filing systems as directed, and maintaining archive records.
  • Maintain a range of marketing materials relating to property availability including websites, social media, blogs, newsletters and newspaper and magazine advertisements.
  • Occasionally carry out viewings with interested parties for office/industrial /storage facility.
  • Assisting with the collation of information for and distribution of the Operation & Maintenance Manuals.
  • Attend and take part in team meetings and regular reviews with line manager.

Required Knowledge, Skills, and Abilities
  • 5 GCSE’s at grade C or above, which must include English Language and Mathematics
  • Well organized with the ability to work to tight deadlines and demonstrate attention to detail
  • Excellent WORKING knowledge of Word/Excel/Access/Outlook/ /Internet
  • Good communication and interpersonal skills
  • Ability to be flexible, as required
  • Someone keen to learn and inquisitive
  • Knowledge of housing and commercial property legislation.
