Job Description
We are seeking an enthusiastic, highly organized, experienced administrator to support the Project Manager, Quantity Surveyor and Project Engineers within our small team based in Kennett. The role will have special emphasis put on the preparation of health and safety documentation and sub-contractor approval with accounts data input.
Key Responsibilities:
- Manage Sub-Contractor approval process for H&S records and Sub Contractors insurances.
- Draw up Pre-Contract H&S files from data provided by Project Engineers.
- Draw up Operation and Maintenance files from data provided by Project Manager, subcontractors and suppliers.
- Liaising with sub-contractors and suppliers in relation to above.
- Maintenance of digital contract file records.
- Maintenance of digital administration records.
- Smooth operation and functioning divisional CRM system.
- Stationery stock management, vehicle consumable procurement.
- Post and document scanning.
- Proactively manage office including compliance with Holding company procedures and policies.
- Drawing up and consolidation of divisional document templates.
- Logging enquiries on CRM, producing quotations, opening and closing job files for confirmed orders.
- Management and maintenance of CRM system, supplier and customer database, including insurance, tax profiles for sub-contractors and suppliers and health & safety.
- Liaising between Quantity Surveyor and Accounts with data input.
This role is being offered as up to 30 hours a week. Our core office hours are Monday to Friday 8.30am to 5.00pm. We are flexible as to how the hours required for this position are worked; whether that be across 3, 4 or 5 days and at hours mutually agreeable between both parties.
