The post holder will be expected to cover all aspects of the administration duties of a busy clinic including reception and general enquires.
You should possess excellent communication skills, have a good standard of education, good keyboard and IT skills and have the ability to multitask.
You should have excellent interpersonal skills to work in what is a highly confidential and sensitive clinic.
You will be an effective team player and have the ability to project an efficient, helpful and friendly manner when dealing with members of the public, colleagues and other service users.
Answering the telephone, deal with queries relevant to the service and/or take accurate messages, record details and pass on to the appropriate team/individual in a timely manner.
Receive, open, sort, date stamp and distribute incoming mail and prepare outgoing mail, on a daily basis.
Use a computerized system to book appointments, input outcomes into WPAS ensuring there is no delay to the patient’s pathway.
Pull and prep patient notes ensuring they are ready for the clinic.
Ensure that processes are adhered to and achieved within set targets as laid down in departmental standard operating procedures.
Responsible for accessing, inputting and updating various computerised systems on a daily basis.
Copy/audio typing of letters and reports.
Photocopying, filing, record keeping, plus other general office duties as and when required.
The ability to speak Welsh is desirable for this post; English and/or Welsh speakers are equally welcome to apply.
This is a full time post working 37.5 hours per week on a permanent basis. Part time hours may be considered.
