Job Description

The role is offered for 15 - 30 hours per week and is available on a temporary or permanent basis.

  • Receive, assist and direct patients in accessing the appropriate service or healthcare professional in a courteous, efficient and effective way.
  • Ensure patient safety and dignity is maintained and respected at all times
  • Provide general assistance to the practice team and project a positive and friendly image to patients and other visitors, either in person or via the telephone.
  • To have a thorough knowledge of all Practice procedures
  • To work in accordance of written protocols
  • Work-flowing electronic documents & filing on patient medical records
  • Processing emails; work-flowing & actioning as necessary
  • Scanning incoming post
  • Communicating with other members of Practice team
  • Handing out repeat prescriptions following Practice policy
  • Be able to cover all reception positions as necessary
  • Assist patients with their queries, either in person or via the telephone
  • Process appointment requests for today/future appointments with appropriate clinicians
  • Book in patients on arrival for their appointments
  • Deal with visits/requests
  • Registrations of new patients – computer data entry and medical records
  • Process patients’ changes of address or contact details – computer data and medical records (have knowledge of Practice boundary)
  • Process repeat prescription requests in accordance with Practice guidelines
  • Have working knowledge of telephone systems across all sites during and after hours
  • Confidence in holding and transferring telephone calls to colleagues

Required Knowledge, Skills, and Abilities

  • Ideally previous medical / healthcare receptionist experience
  • You will have excellent communication skills with a clear and polite telephone manner.
  • You will work in a polite, confidential and discreet manner, respecting patients at all times.
  • You will have experience of working with the general public, being sensitive and empathic in distressing situations.
  • You will be confident to work as part of a team and be able to think on your feet independently.
  • Strong IT and administration skills.
