Job Description
  • Collate bills to dispatch reports from various systems, separating centrally managed from business dispatched
  • Co-ordinate with Secretarial leads to agree available resources
  • Allocate work to resources available
  • Monitoring progress daily and update lists as required
  • Provide regular updates to key stakeholders on progress
  • Escalate any issues preventing prompt dispatch
  • Collaborate with secretarial teams to progress business dispatched teams / collate reasons for delays for 360 learning
  • Follow up with secretaries re missing payor contact details for centrally managed matters
  • Production of monthly bill dispatch metrics / performance
  • Provide recommendations
  • Track any exceptions to process through to delivery
  • Follow up with finance colleagues & lawyers for missing data as required
  • Aid in producing documented summary of individual client processes
  • Obtain supporting copies (e.g. disbursements) required for specific client billing
  • Support the core team during busy periods (month ends) and absences
  • Deal with routine queries related to month end billing
  • Raise bills / credit notes
  • Assist in managing the teams work list

Required Knowledge, Skills, and Abilities
  • Experience in either a finance based role in a professional services firm or exposure to finance & billing processes
  • Some exposure to legal billing and prebills would be an advantage
  • Experience of using Microsoft Excel, including vlookups & formulas an advantage
  • Confident manner with people at all levels
  • Ability to be pro-active
  • Flexible
  • Ability to priorities and meet deadlines
  • Ability to work as part of a team
  • Ability to work unsupervised and on one's own initiative
  • Good written and verbal communication skills
  • Highly PC literate with strong systems skills
