We are looking for an enthusiastic, motivated, and hardworking PA. You will be adaptable to a variety of administrative tasks that will assist the Directors in carrying out their day to day role in leading, directing and managing all business and service.
The Successful Candidate:
- Excellent organizational skills and attention to detail to ensure work is produced to a high standard
-Be able to undertake a range of secretarial and administrative tasks such as:
- Managing telephone calls, filing, and preparation of presentations, financial support, in order to ensure the effective running of the departments
- Track actions on behalf of the Directors with attention to any deadlines/requests for information.
- Manage and maintain a diary of meetings and commitments
- Placing orders taken on the ordering system
- Ensure Directors have necessary documentation in advance of scheduled meetings allowing sufficient time to prepare.
- Provide secretarial support to meetings as requested including the preparation of agendas, collation of papers, minute taking and follow up actions.
- Assist in developing effective and positive relationships with key internal and external stakeholders and organizations
- Maintain the highest level of confidentiality and discretion at all times.
This role will also help provide some support to the general admin / accounts department when required.
Tasks will include:
- Provide excellent, consistent and professional levels of service to our customers and all aspects of the business.
- Process weekly and daily customer payments and allocate to their account
- Reconcile customer invoices with expected payments.
- Responsible for resolving unpaid debts
- Maintain customer accounts receivable files and records
- Assisting in general financial management and analysis
- Daily Banking – internal bank transfers, daily cash handling
- inputting stock weights to produce invoices
- Invoicing and pricing customer orders
- issuing credits and invoices
- Daily stock counts
- Monthly bank reconciliation
- General Day to day duties – answering calls, filing and photocopying.
The role will require adequate holiday cover for accounts payable
30 hour week
Mon-Fri 9am-3pm
